As per the “Standards for Electronic Registration of Higher Education Certificate Photos and Information” [《高等教育学历证书电子注册图像采集规范及信息标准》(教毕指[2017] 99号)], CHSI (https://www.chsi.com.cn/) will not accept photos that fail to meet quality requirements. This means affected graduates will be unable to have their academic credentials electronically registered or displayed on CHSI. Besides, the photos required for the graduation certificate, degree certificate, degree archives, and in the Harbin Institute of Technology Graduate Education Management System (http://yjsgl.hit.edu.cn/common/login, hereafter referred to as the "HIT Degree Application System") and the Undergraduate and Graduate Academic Management and Service Platform (http://jw.hitsz.edu.cn/) must match the electronic photo on CHSI.
The university will organize the online collection of graduation certificate photos at the beginning of each autumn semester. Graduate students planning to complete their thesis defense in the upcoming year (i.e., those whose expected graduation date shown on CHSI is within one year) must complete submit their photos within the specified timeframe to prepare for their degree application and issuance of graduation and degree certificates. Detailed requirements:
I. Participants and Requirements
(I) Who Should Participate in the Photo Collection in 2024:
(1) Master’s students enrolled in 2023
(2) Doctoral students enrolled in 2021 (excluding direct-entry doctoral students); doctoral students enrolled before 2021 and haven’t submitted their photos yet.
(II) Collective Photo Collection Period: October 21– November 29, 2024
(III) Matters to Note:
1. You will need to complete two steps for photo submission.
First, get the CHSI Image Collection Code from the CHSI WeChat official account (“学信网”) (see Attachments 1 for details: How to Get Your CHSI Image Collection Code.pdf).
Then, search for the mini-program of “易拍照” (Easy Photo Capture), enter “哈尔滨工业大学(研究生)” (Harbin Institute of Technology [Postgraduate]), pay the fee, and take the photo wearing formal attire with a collar (see Attachments 2 for details:Graduation Certificate Photo Submission Guide.pdf).
Key Details:
(1) Only students with an "expected graduation date" within one year (from January 2024 to December 2025) are eligible for the CHSI Image Collection Code. Your "expected graduation date" will be set by the university if you're within the standard study period.
If you plan to defend your thesis early or exceed the standard study period, you will not be able to get the CHSI Image Collection Code and will need to take your photo offline (for more details, check out this link regarding "Graduation Photo Processing": http://due.hitsz.edu.cn/info/1181/4124.htm).
(2) Master's students admitted to combined master's-doctoral programs, who are exempt from the master's thesis defense process, do not need to participate in the photo collection.
(3) You need to pay ¥25 via the “易拍照” mini-program (this is a group discount for HIT students). This fee covers image capture, standardization, and related services. You can retake your photo as many times as needed until you're satisfied. The service will end once your photo is submitted and passes the manual review. Manual review of your photo will take about 2 working days. Once it’s approved, you won’t be able to change it, and you won’t be allowed to take another photo before graduation.
(4) Photo Validity for Degree Certification: The photo submitted for certificates must be taken within a specified time frame typically, no older than 2 years for master's students and 3 years for doctoral students. Admission or enrollment photos that exceed these time limits are not allowed.
(5)Be sure to verify your personal information carefully during the collection process. If you have any questions, visit the customer service page or call 400 996 2266 from 9:00 to 20:00.
2. Participate in the photo collection on time.
If you complete the photo submission within the specified time, your photo will be uploaded to the relevant systems by the university, and the printed version will be distributed by your department at the beginning of the spring semester next year.
(1) Academic secretaries can check the photo collection status on the Undergraduate and Graduate Academic Management and Service Platform.
(2) If you miss the deadline, you won’t be eligible for the group discount and will need to handle the photo upload and printing on your own.
If you miss the deadline, please follow these steps: After your photo passes the manual review in the “易拍照” mini-program, you will need to download your photo from it or CHSI and upload it to the HIT Degree Application System and Undergraduate and Graduate Academic Management and Service Platform (see Attachment 3 for details: Guide to Image Collection on the Undergraduate and Graduate Academic Management and Service Platform.pdf). After your department reviews, the photo will be submitted .
Important Note: As per the arrangement with CHSI’s contracted photo agency, photos collected in the autumn semester will generally be printed and mailed at the beginning of the spring semester next year. Make sure to check the timing for receiving your printed photos to avoid delays with your thesis defense.
3. Verify your personal information.
A month after your photo is approved on CHSI, please log into both CHSI and the HIT Degree Application System to verify and confirm your personal information.
