4. Matters to Note

(1) Registration for Graduates Unable to Return on Time

According to the Ministry of Education’s Order No. 41 and Articles 10 and 12 of the “Regulations for Management of Graduate Student Status of Harbin Institute of Technology” (《哈尔滨工业大学研究生学籍管理相关规定》) (http://due.hitsz.edu.cn/info/1066/4451.htm), those who fail to complete registration within two weeks after the official registration period will be considered to have voluntarily abandoned their enrollment and will be automatically withdrawn from the university. If a graduate student is unable to return to campus on time due to illness or other reasons, they must request leave in advance. Upon their return, they should immediately bring their valid ID to their school to complete registration.

a. Students who take leave during the official registration period (before February 25) must complete registration at the office of the teaching secretary of their school within two weeks after this semester begins. The schools will determine the specific time for late registration.

b. Students unable to return to the campus within two weeks (before March 7) after this semester begins must submit a deferred registration request by submitting a leave application through the student management system to their school. The school must then submit a list of deferred students to the Office of Academic Affairs by March 10 for record-keeping. (See Attachment for the template)

Important Reminder: Full-time graduate students are generally allowed no more than one month of leave in total per semester. If a leave exceeds this duration, students must apply for a leave of absence. As per Article 28, the standard leave of absence for graduate students is six months or one year. Full-time graduate students taking leave for entrepreneurial activities may be granted up to two years of leave. Leave for other reasons is generally limited to one year.

(2) Registration Requirements for Part-Time Graduate Students

According to Article 10 of the “Regulations for Management of Graduate Student Status of Harbin Institute of Technology”, part-time graduate students who need to return to their original workplace for research or thesis-related activities, as confirmed by their school and supervisor, must register within two weeks of after this semester begins and discuss their thesis progress with their supervisor. If they are unable to register on time, they must apply for deferred registration. The latest possible registration date is one month after the semester begins.
